Our hosting provider, Cloudflare, uses this information to deliver the website to you and to protect it against attacks and misuse, and keeps it in security logs for a short period.\n\n**Legal basis:** our legitimate interest in running a secure, working website (GDPR art. 6(1)(f)).\n\nWith your consent, we also use cookies and similar technologies for statistics and marketing. See “Cookies” below.\n\n#### When you request a demo or contact us\n\nWhen you book a demo, our form asks for your first and last name, company and work email. With the request we also receive the address of the page you sent it from and, if you have accepted marketing cookies, the HubSpot visitor ID that links the request to your earlier visits to our website. When you contact us by email, phone or otherwise, we receive the information you give us.\n\nWe use this information to answer you, to arrange and hold the demo, to follow up with relevant information about our products, and to keep track of our contact with you in our customer relationship management (CRM) system, HubSpot.\n\n**Legal basis:** our legitimate interest in answering enquiries and developing business relationships, and steps you ask us to take before entering into a contract (GDPR art. 6(1)(f) and (b)).\n\nYou don’t have to give us your details, but we can’t answer your request without them.\n\n#### Newsletter and marketing emails\n\nWhen you sign up for our newsletter, we receive your email address and your consent to receive information from us. We send our newsletter and other marketing emails through HubSpot, which records whether an email is opened and which links are clicked, so we can see which content our readers find useful.\n\nWe only send marketing emails to people who have agreed to receive them. Every email has an unsubscribe link, and you can also ask us to stop at any time.\n\n**Legal basis:** your consent (GDPR art. 6(1)(a)).\n\n#### When you apply for a job\n\nWhen you apply through the form on one of our job postings, we receive your name, email address, phone number, CV, your message if you write one, and the position you are applying for. Before the application is sent, Cloudflare Turnstile checks that it comes from a person and not a spam robot. The application is stored with Cloudflare in the EU, and the people handling the recruitment receive an email with your details and a link to your CV. On the form you confirm that we may store and use your application to assess it.\n\nWe use your application only to assess it and to communicate with you about it. Please don’t include sensitive information, such as your CPR number or information about your health.\n\nWe keep your application for 180 days after we receive it and then delete it automatically; the copies in our mailboxes are deleted after the same period. Applications sent to us by email are handled in the same way. If we hire you, your application becomes part of your personnel file. We only keep your application for future positions if you agree to that separately.\n\n**Legal basis:** steps you ask us to take before a possible employment contract, and our legitimate interest in handling and documenting our recruitment (GDPR art. 6(1)(b) and (f)).\n\n#### Customers and platform users\n\nIf your organisation is our customer, or you use the Hypefactors platform (app.hypefactors.com), including Hype.News newsrooms, we process:\n\n- account and contact details, such as your name, work email, job title, organisation and login details\n- information about how you use the platform, such as log-ins, the features you use and technical logs\n- information about invoicing and our communication with you, for example support requests\n\nWe use this information to provide the platform under our agreement, to give support, to keep the platform secure, to send you service messages about your account and the platform, to invoice, and to improve our products.\n\n**Legal basis:** the contract with our customer (GDPR art. 6(1)(b)); for users who work for a customer, our legitimate interest in providing the platform to that customer (art. 6(1)(f)); for accounting records, our legal obligation under the Danish Bookkeeping Act (art. 6(1)(c)).\n\nThe content our customers add to the platform – for example their monitoring set-ups, lists of media contacts, press releases, newsrooms and reports – is processed on the customer’s behalf. For that content the customer is the data controller and we are its data processor, under our customer agreement and data processing agreement. If your personal data is part of a customer’s content, please contact that customer; we will help them answer your request.\n\n#### People mentioned in media coverage\n\nThe Hypefactors platform collects and analyses published media coverage – online news, print, broadcast, social media and other public sources – so that our customers can follow what is said about them, their industry and their competitors. This coverage can name people, for example spokespeople, executives, journalists and the authors of public posts. We process the coverage as it was published, with its source and date, and the results of our analysis of it, such as its reach and sentiment.\n\n**Legal basis:** our and our customers’ legitimate interest in monitoring and analysing public media coverage, in line with the freedom of expression and information (GDPR art. 6(1)(f)). The information comes from public sources. As we usually have no way of contacting the people mentioned, we give this information here. You have the right to object to this processing (see “Your rights”).\n\n#### Our social media pages\n\nWe have company pages on LinkedIn, Facebook, Instagram and X (Twitter). If you follow us, comment or send us a message there, we see what you share with us. The platforms process your data under their own privacy policies.\n\n### Cookies\n\nCookies are small files that a website stores in your browser; similar technologies, such as pixels and local storage, work in the same way. We use them in three categories:\n\n- **Necessary:** needed for the website to work and stay secure, for example to remember your cookie choices and to protect the website and its forms against misuse. They don’t need your consent\n- **Statistics:** Google Analytics, which tells us how visitors use our website, for example which pages they visit and how they found us, as aggregated statistics\n- **Marketing:** HubSpot, which recognises returning visitors, records which pages they visit, links this to a form they send us and provides our chat; the LinkedIn Insight Tag, which measures the results of our LinkedIn ads and lets us show them to people who have visited our website; Google’s conversion linker, which records when you come to our website from one of our Google ads; and Leadfeeder, which identifies the companies that visit our website from the IP address of their network\n\nWe only set statistics and marketing cookies, and only load the tools that use them, if you accept them in our cookie banner. You can change or withdraw your consent at any time on our [Cookie Declaration](\u002Fcookie-declaration\u002F) page, which also lists each cookie with its purpose, provider and how long it is kept.\n\n**Legal basis:** your consent for statistics and marketing cookies (GDPR art. 6(1)(a)); our legitimate interest in a working, secure website for necessary cookies (art. 6(1)(f)).\n\n### How long we keep your data\n\nWe keep personal data only as long as we need it for the purposes described above, or as long as the law requires:\n\n- **Website logs:** for a short period, for security and troubleshooting\n- **Demo requests and other business contacts:** while we are in contact or have a business relationship with you and the information is relevant; we regularly clean up our CRM and delete contacts we no longer need\n- **Newsletter:** until you unsubscribe or withdraw your consent; after that we keep a record that you unsubscribed, so that we don’t email you again\n- **Job applications:** 180 days after we receive them (see “When you apply for a job”)\n- **Customer and user data:** for as long as the customer agreement runs, and afterwards as set out in the agreement; accounting records for five years, as the Danish Bookkeeping Act requires\n- **Media coverage:** for as long as it is relevant for the services we provide to our customers\n- **Cookies:** as stated in the Cookie Declaration\n\n### Who receives your data\n\nWe don’t sell personal data. We share it with service providers that process it on our behalf and on our instructions (data processors), under data processing agreements, and only as far as they need it:\n\n- **Cloudflare:** hosting and security of our website, storage of job applications in the EU, the notification emails about them, and the Turnstile spam check\n- **HubSpot:** our CRM, the website forms, newsletters and marketing emails, website tracking and chat. Our HubSpot account is hosted in HubSpot’s EU data centre\n- **Google:** Google Workspace (our email and documents), Google Tag Manager and Google Analytics, measurement of our Google ads, and Google Cloud, which hosts parts of the Hypefactors platform\n- **LinkedIn:** measurement and targeting of our LinkedIn ads, if you accept marketing cookies\n- **Leadfeeder (Dealfront):** identification of companies that visit our website, if you accept marketing cookies\n- other suppliers of hosting, infrastructure, support and accounting services for our platform and our business\n\nLinkedIn and Google may also use the data from their tools for their own purposes, such as their advertising services; they are responsible for that use under their own privacy policies.\n\nWe may also share personal data with our professional advisers, such as auditors and lawyers, with public authorities when the law requires it, and with a buyer or investor if all or part of our business is sold.\n\n### Transfers outside the EU\u002FEEA\n\nSome of our providers, such as Cloudflare, HubSpot, Google and LinkedIn, belong to groups based in the US or use sub-suppliers outside the EU\u002FEEA, so your data may be transferred to or accessed from countries outside the EU\u002FEEA, including the US. We make sure that such transfers are protected: by the EU–US Data Privacy Framework where the recipient is certified under it, or otherwise by the European Commission’s standard contractual clauses. Contact us if you would like more information.\n\n### How we protect your data\n\nWe use technical and organisational measures to protect personal data against loss, misuse and unauthorised access, such as encrypted connections, access limited to the people who need it, and service providers bound by data processing agreements.\n\n### Your rights\n\nUnder the GDPR you have the right to:\n\n- **access** the personal data we hold about you and receive a copy\n- have incorrect data **corrected**\n- have your data **deleted**\n- **restrict** our processing of your data\n- receive the data you have given us in a structured, machine-readable format and have it transferred to someone else (**data portability**)\n- **object** to processing based on our legitimate interest, and at any time to the use of your data for direct marketing\n- **withdraw your consent** at any time where we process your data based on consent; this doesn’t affect the processing before you withdrew it\n\nTo use your rights, email [info@hypefactors.com](mailto:info@hypefactors.com).
